Overview

EVOPOS supports price-embedded barcodes in EAN-13 and UPC-A format. These barcodes are printed by scales, label printers and other devices, and hold both the item code (PLU) and the selling price in a single barcode.

When you scan one at the point of sale, EVOPOS finds the stock item from the PLU and uses the price from the barcode. This is useful for goods sold by weight or length, or items priced individually, such as bulk oil, chain, rope or hose cut to length.

Where to find it

The feature works automatically in the Point of Sale screen. There is nothing to turn on or set up in EVOPOS.

Note: Embedded price barcodes only work in the Point of Sale screen. They are not recognised in other screens.

Prerequisites

  • The stock item must already exist in EVOPOS.
  • The stock item's Part Number must match the PLU in the barcode.
  • The barcode must start with 02 or 20.
  • The price in the barcode must be GST inclusive.
  • Your scale or label printer must be set up to print price-embedded EAN-13 or UPC-A barcodes.
  • Your barcode scanner must be able to read EAN-13 and UPC-A barcodes.

How-to Guides

How to set up a stock item for embedded price barcodes

  1. Find the PLU for the item in your scale or label printer.
  2. In EVOPOS, open the stock item.
  3. Check that the Part Number matches the PLU exactly.
  4. If it doesn't match, update the Part Number or change the PLU in your device so they are the same.
  5. Save the stock item.

The stock item can now be sold by scanning its embedded price barcode at the point of sale.

Tip: If the stock item doesn't exist yet, create it first. EVOPOS can't sell an embedded price barcode unless a stock item with a matching Part Number already exists.

How to set up your scale or label printer

Each device is set up differently, so follow the manufacturer's instructions. Make sure the device is set to:

  1. Print barcodes in EAN-13 or UPC-A format.
  2. Use a barcode prefix of 02 or 20.
  3. Embed the price in the barcode.
  4. Use GST inclusive prices.
  5. Use PLUs that match the Part Number of each stock item in EVOPOS.

Your device now prints barcodes that EVOPOS can read at the point of sale.

How to scan an embedded price barcode

  1. Open the Point of Sale screen.
  2. Start a new sale, or continue an existing one.
  3. Scan the barcode on the item's label.
  4. Check that the correct item and price appear on the sale.
  5. Continue the sale as normal.

The item is added to the sale at the price printed in the barcode.

Warning: EVOPOS uses the price in the barcode, not the sell price on the stock item. If your device has the wrong price set up, the item will be sold at that wrong price. Always check the price before you complete the sale.

How to test a new scale or label printer

  1. Print a label for an item you know exists in EVOPOS.
  2. Open the Point of Sale screen and start a new sale.
  3. Scan the label.
  4. Check that the correct item appears and the price matches the label.
  5. Remove the item from the sale, or cancel the sale.

If the item and price are correct, your device is ready to use.

Troubleshooting

The item isn't found when I scan the barcode

Problem: You scan an embedded price barcode, but the item isn't added to the sale.

Cause: There is no stock item with a Part Number that matches the PLU in the barcode, or the stock item hasn't been created yet.

Fix: Check the PLU in your scale or label printer. Make sure a stock item exists in EVOPOS and that its Part Number matches the PLU exactly, including any leading zeros.

The barcode is treated as a normal barcode

Problem: EVOPOS doesn't pick up the embedded price when you scan the label.

Cause: The barcode doesn't start with 02 or 20.

Fix: Change the barcode prefix in your scale or label printer to 02 or 20, then reprint the label.

The price on the sale is wrong

Problem: The item scans, but the price is different from what you expect.

Cause: The device may be set to GST exclusive prices, set to embed a weight instead of a price, or have the wrong price for that PLU.

Fix: Check that your device embeds a GST inclusive price, not a weight. Check the price set up for that PLU in your device, then reprint the label.

Nothing happens when I scan the barcode in another screen

Problem: The embedded price barcode doesn't work outside the point of sale.

Cause: Embedded price barcodes are only supported in the Point of Sale screen.

Fix: Process the sale in the Point of Sale screen.

The scanner won't read the label

Problem: The scanner doesn't beep or read anything when you scan the label.

Cause: The label may be damaged, smudged or printed too lightly, or EAN-13 or UPC-A reading may be turned off in the scanner.

Fix: Reprint the label. If the problem continues, check the scanner's settings to make sure EAN-13 and UPC-A are enabled. Refer to the scanner manufacturer's instructions.

Tips & Best Practice

  • Test every new scale, label printer or PLU with a test label before you start selling with it.
  • Keep PLUs and Part Numbers identical. If you change one, change the other at the same time.
  • Use numeric Part Numbers for scale items, because barcodes can only hold numbers.
  • Keep prices in your scale or label printer up to date. The barcode price is what the customer is charged.
  • Check the item and price on screen after each scan, especially for high-value items.
  • Reprint damaged or faded labels rather than typing the item in by hand, so the correct price is used.
